A new patient finds you, clicks book, and disappears into a booking system on a completely different web address. To your analytics, that patient just vanished. This is why so many practices cannot tell which ads or pages actually fill the diary, and it is very fixable, without ever handing patient details to Google.

Why clinic tracking is uniquely tricky

Two things make healthcare bookings hard to measure. First, the booking almost always happens in a third-party system, Dentally, Zesty, Cliniko, NHS forms, an embedded widget, or a link out to another domain, so the moment of conversion leaves your website. Second, this is sensitive data, so you must be careful never to send any patient information into your analytics or ad platforms. Get the first part wrong and you are blind. Get the second part wrong and you have a compliance problem.

What typically goes wrong

1. The booking happens off-site, so it is never counted

When your book button links to a separate booking domain or opens an embedded widget, the completed booking fires on a page your tracking cannot see. You record the click to book but never the booking itself, so your conversion numbers are a fraction of reality.

2. Cross-domain tracking is not set up

If the booking system is on another domain and cross-domain measurement is not configured, GA4 treats the hop as a brand-new visit from a new source. Your original ad or search loses the credit, and your Direct or referral traffic balloons with what are really your best patients.

3. Phone bookings are invisible

A large share of clinic bookings still come by phone, and a bare phone number in the header records nothing. The most common way patients book is often the one you measure least.

4. Patient data is leaking into analytics

The opposite risk. Booking confirmation pages sometimes pass names, emails or appointment details in the URL, which then flow straight into GA4 or your ad pixels. That is both a GDPR problem and against Google's own rules, and it needs stripping out.
